Administrative Assistant Role Overview

Position: Administrative Assistant (5 Positions Available)
Contract Type: Fixed-Term (12 Months)
Location: Johannesburg, Gauteng, South Africa
Salary: R244,732.00 per annum

As an Administrative Assistant at RAF, you will provide comprehensive support to our Adjudication Department, ensuring the smooth operation of office functions and maintaining impeccable records management systems. This position requires exceptional attention to detail, strong document management skills, and the ability to coordinate multiple administrative processes simultaneously.

Key Responsibilities

Compliance Administration

  • Maintain comprehensive written documentation of departmental activities
  • Ensure strict adherence to RAF’s internal policies and process standards
  • Implement effective administrative support procedures that align with organizational goals
  • Monitor compliance with internal control measures

Office Coordination

  • Provide prompt follow-up on outstanding administrative matters
  • Maintain office supplies and administrative resources
  • Validate and verify document accuracy before processing
  • Assign appropriate reference numbers for efficient document tracking
  • Allocate tasks to team members based on expertise and workload
  • Draft professional correspondence to internal and external stakeholders

Meeting Support

  • Schedule and coordinate departmental meetings with precision
  • Record and distribute meeting minutes according to governance standards
  • Develop systematic follow-up plans for meeting resolutions
  • Manage team calendars and appointment scheduling
  • Arrange productive meetings with stakeholders in the accident compensation process

Records Management

  • Implement the RAF filing plan with meticulous attention to detail
  • Maintain a functional and up-to-date administrative filing system
  • Retrieve documents promptly when required by the adjudication team
  • Safeguard confidentiality of sensitive accident claim records
  • Utilize computerized systems for effective document tracking

Qualifications and Requirements

Essential Qualifications

  • Matric/Grade 12 certificate
  • Minimum one year of experience in an administrative support role
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Excellent organizational and communication abilities
  • Strong attention to detail and high level of accuracy
